Currently, my job does not hold many meetings, not any at all really. We have a small organization made up of 2 top level employees and 6 others. Information usually gets passed non-formal via a read board or by each other. I think we do a pretty good job of communicating however like always, it could use some improvement. We are currently working on a formal communication channel such as an SOP that cover all topics from the smallest to the largest. While I was in the Corps, I held section meetings at least twice a day. One in the morning and one in the evening before securing for the day. At these meetings I pass my intent, gather information, and see where I needed to either intervene or steer course. The purpose of these meetings or any meeting in general is to pass information and ensure everyone is working toward a common goal. This is accomplished by listening, collaborating and issuing guidance, the three directions of communication (Up, Down, Lateral).
One problem with communication I have seen in the past is with both email and text. People have a tendency to both elaborate to much or abbreviate in their message and the point or message gets lost, mis-construed, or ignored. This can be prevented by a process I believe in: If I send an email it is followed by a phone call. If I make a phone call it is followed by a person-to-person meeting. This way I can ensure no confusing exists between all the parties involved. I like to see the people I communicate with.
